Registration

Delegate registration for RSPSoc 2009 is now open. The early-bird registration period ends at midnight (UK time) on the 27th August 2009. After this date, registration fees will increase by 25%. We are very pleased to offer very competitive registration fees for members of the society. If you wish to consider saving money and joining the society, please go to the RSPSoc Membership Page. Registration fees are shown in the table below. We have a range of delegate attendance packages to suit budgets and availability. Please note the following important information. Please do not hesitate to contact us on rspsoc2009@le.ac.uk should you require further information or are having problems with conftool.

Important Information

1. You will not be confirmed as a delegate until full payment has been received and funds have cleared and confirmed by the conference office.
2. Society members will need to enter their membership number during registration. If not known, please write this in the text box. Current, valid membership of the society will be confirmed prior to delegate confirmation.
3. To register for the conference, you will need to create an account on the conference management software (ConfTool) that we are using. If you have submitted a paper then you already have an account. Just log in and follow the instructions. To access the online Conference System please click here.
4. We accept payment by credit or debit card (Visa, MasterCard, Maestro, Solo, Electron), cheque (UK bank accounts) or by bank transfer. We do not accept cash.
5. If paying by credit or debit card, you have two choices. The first is that you fill in a printed form and fax it to the conference office. The second is that you fill in your credit or debit card details in on-line (SSL security is supported). The conference office will then process payment as soon as possible and once confirmed the details will be deleted from the system to further maintain security. Cuirrently we do not have a facility to process on-line card payments or use systems like PayPal. No fee is being charged to process card payments.
6. If you bank in a currency that is not £ Sterling, then you should ensure that the Society receives the full amount due after deduction of banking fees. These costs are at your expense.
7. If your institution is paying your registration fee, then please determine their normal method of payment (most likely to be bank transfer), before you fill in the form. The conftool system will generate an invoice automatically that you can then print and present to your financial officers. This should facilitate quicker payments more quickly.
8. If you are an invited speaker or a registered commericial exhibitor please do not register yourself. We will do this for you. Please contact the conference office for more information.
9. The early-bird registration period ends at midnight on the 27th August 2009. After this date, registration fees will increase by 25%. Accommodation and extra charges will not increase.
10. During registration, you will be able to book en-suite accommodation in high-quality University Halls of Residence at the conference venue for £40 pppn. The price includes full English breakfast, bed linen, towels, toiletry pack, tea/coffee making facilities. The rooms are serviced daily. Internet access is available. Rooms are available right through the week, as required, from an arrival day of Sunday 6th to a departure day of Saturday 12th September. Up to two rooms can be booked if travelling with family. These rooms will be adjacent to each other. Booking external accommodation must be done separately by yourself and is subject to availability. Accommodation is not included in the registration fee.
11. A seat (or two) at the annual conference dinner being held at the National Space Centre on Thursday 10th September is not included in the registration fee and needs to be booked separately during the registration process in conftool. The event is being sponsored by the Ordnance Survey. Therefore, the ticket price for this unique event is heavily subsidised and will cost £35 per head. A maximum of 2 tickets can be purchased.
12. During the registration process, you will be able to register your intention to attend one or more of the workshops that are being held as part of the RSPSoc 2009 conference. Workshops will take place outside of the formal conference hours. Please refer to the Workshops page for more information. Note that there is a fee for the 'Remote sensing of fire for national greenhouse gas accounting' workshop which will be added to the bill.

RSPSoc 2009 delegate package descriptions

Full conference package
The 'Full Conference' package entitles you to participate in the conference from 12.00 on Tuesday 8th September to 14.00 on Friday 11th September. The registration package includes lunch on Tuesday, Wednesday, Thursday and Friday, welcome reception and dinner on Tuesday evening, wine reception and social event on Wednesday evening, access to all technical and academic sessions, access to side events, conference proceedings, access to the exhibition. The registration fee does NOT include dinner on Thursday evening, accommodation or attendance at the RSPSoc 2009 annual conference dinner which can be booked separately in conftool.
Half conference package
The 'Half conference' package entitles you to participate in the conference from 12.00 on Tuesday 8th September until 18.00 on Wednesday 9th September OR 08.00 on Thursday 10th September until 14.00 on Friday 11th September. You will be able to select from Wednesday 9th OR Thursday 10th in conftool. Both half conference packages include the wine reception and social event on the Wednesday evening (starting at 18.00), access to all technical and academic sessions, access to side events, conference proceedings, access to the exhibition whilst registered for the conference. Lunch on the days for which you are registered are also included. The packages does NOT include dinner on Thursday evening, accommodation or attendance at the RSPSoc 2009 annual conference dinner which can be booked separately in conftool.
Day conference package
The 'Day' package entitles you to participate in the conference on any one day, except for Friday 11th September. If you wish to attend on this day only, please contact us on rspsoc2009@le.ac.uk. 12.00 - 20.00 on Tuesday 8th September (includes lunch, refreshment break and access to the ice-breaker reception). It does not include dinner. 09.00 - 19.30 on Wednesday 9th September. The package includes lunch, refreshment breaks and access to the poster session. It does not include dinner or access to the social event planned for that evening. 09.00 - 18.30 on Thursday 10th September. The package includes lunch, and refreshment breaks. It does not include dinner. If you wish to attend the RSPSoc 2009 annual conference dinner please book this separately in conftool.
